Process improvement: a change management process that works

You understand that change is a constant force that every organization faces. And you know that those who can master the change management process will outperform the competition.
But did you know this: Studies indicate that only about 33 percent of process improvement initiatives are successful? That is, they don’t increase performance, or they don’t introduce true innovations, despite great effort and the best of intentions. Most attempts at a thorough change management process fail. Why?
One common error is not appropriately documenting existing business processes. Another is the failure to use information technology correctly. But there are a lot of possible errors to be made. Snags that many people just don’t think about, but still can be devastating.
How can you bring an effective change management process into your organization and avoid these pitfalls? For more information on common pitfalls and how to avoid them, click here.
PGS Process Improvement: the key to a successful change management process
Our approach to the change management process includes proprietary exercises that encourage participants to recognize their own self-limiting behaviors; then it shows them what is possible when they overcome those barriers. Riding the wave of success in those exercises, the group is highly motivated to re-invent the ways they are doing their work.
“Instead of PGS coming in and saying, ‘Here are the industry best practices; this is what we’ve done in the past and this is what works,’ PGS actually comes in and gets the employees involved. Convinces them that they can actually make that process improvement. Once you get the employees buyoff, it’s much easier. Anybody can come in and say, ‘This is what you need to do to cut your time in half.’ But if you don’t have the buy-in of the employees doing the job – if they’re not convinced it will work — it won’t work.”

What does success with a change management process look like?
Every group we’ve completed the change management process with has been able to recreate their process to deliver at least a 50 percent improvement in performance. Consider:
- Our Process Improvement program uses best practices to deliver rapid and sustainable improvements that can be easily supported by management and staff over the long haul.
- Teams are trained to design and manage the change management process so that the new systems they put into place can be implemented with ease by your most valuable resource – your own people.
- Once trained, teams can continue the change management process in any area, because we teach them how to successfully manage it in any situation. Outcomes of this facilitated process include:
- Defining (and understanding) the need for change.
- Documentation of current processes and their failures.
- Adoption of new standards and a re-design of processes to achieve new levels of performance.
- Team training, which supports the successful implementation and long term sustenance of the improved processes.

Does it really work?
Here’s what one of our satisfied clients has to say:
“Two years ago, we heard [from customers], ‘We want to get in and out faster. We hate coming to NAC. We don’t want to be there because it takes so long.’
We don’t get those kinds of complaints anymore.”

Find out if your organization is ready for change
It’s pretty simple, really. If you decide you are interested in a change management process with PGS and want to know if you are ready, we’ll arrange a time to come to your location and hold an introductory meeting with you and your process team. During initial meetings, we will:
- Identify intended outcomes (set objectives)
- Identify team roles
- Set times and durations of meetings
- Set team rules
We’ll work with you to determine your requirements, consult with you about the best way to proceed, and outline a schedule. During the process improvement work to follow, we will introduce a variety of learning devices that will help participants perform their tasks. We will also provide coaching, if and when it’s needed.
Our approach is based on the belief that your employees already have the knowledge that can be used to drive your business process improvement. What we contribute is the expertise in extracting, organizing, and helping you put that knowledge to use.
